This Privacy Notice describes how we handle and protect your personal data in connection with Glia’s recruiting processes. This Privacy Notice only applies to the personal data of job applicants and potential candidates for employment. It does not apply to our clients, contractors, employees, or other personal data that Glia collects for other purposes.

We use Greenhouse, a third-party recruiting software system provider to assist with our recruitment process. We use Greenhouse to process personal information as a data processor on our behalf. Greenhouse is only entitled to process your personal data in accordance with our instructions.

Personal data we collect

Information that we collect from you

We collect and process some or all of the following types of information from you:

  • Information that you provide when you apply for a role. This includes information provided through an online job site, via email, in person at interviews and/or by any other method.
  • In particular, we process personal details such as name, email address, address, date of birth, qualifications, experience, information relating to your employment history, skills and experience that you provide to us.
  • If you contact us, we may keep a record of that correspondence.

Information we collect from other sources

Greenhouse provides us with the facility to link the data you provide to us, with other publicly available information about you that you have published on the Internet – this may include sources such as LinkedIn and other social media profiles.

Greenhouse’s technology allows us to search various databases, which may include your personal data, to find possible candidates to fill our job openings. Where we find you in this way we will obtain your personal data from these sources.

How we store your personal data

Security

Only selected employees of Glia, such as management and recruitment team members, and a third-party recruiting software system provider (Greenhouse Software, Inc.) have access to your personal data. Greenhouse Software, Inc. is fully compliant with EU data protection laws.

Where we store your personal data

The data that we collect from you and process using Greenhouse’s Services may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us.

How long we keep your personal data

Your personal data shall not be kept for longer than 3 years. In addition to using your data for the position for which you have applied, Glia may retain and use your application data to consider you for other positions for a maximum period of 3 years. If after this period, we feel it necessary to retain your records, we will write to you.

You can nevertheless always ask Glia to delete your data by sending your request via e-mail to security@glia.com.

If you accept an offer of employment by us, any relevant personal data collected during your pre-employment period will become part of your personnel records and will be retained in accordance with data protection policies.

Your rights as a data subject

You have the following rights under the GDPR:

  • Request access to information that Glia holds about you;
  • Request a correction of information that Glia has about you;
  • Request the erasure of information that Glia has about you;
  • Restrict the use of your personal data;
  • Receive your personal data;
  • Object to the processing of your personal data;
  • Withdraw your consent for the use of your personal data;
  • File a complaint about our processing with a supervisory authority.
